Where do you spend most of your day… ? Yes, it’s your office… So why not take a few hours to reorganize your workspace in a more functional and efficient way?! This will improve your well-being, reduce your stress, and undoubtedly improve your productivity.
1. Set up.
The physical position of your keyboard and screen is crucial. Make sure the top of the screen is at eye level and the screen itself is an arm’s length away.
To be able to rest your arms and wrists, place your keyboard about ten centimeters from the edge of your desk.
It is also imperative to keep your back straight while you work. This will save you a lot of trouble later. Adjust the height of your chair and adjust its backrest.
2. Sort, organize, throw away.
Over the weeks, months, and years, the office is filled with accumulated objects, some of which are no longer useful. Visual and mental habit has taken precedence over the actual efficiency of the objects in question. Take a few hours to sort, organize, and throw away. Put away anything that may still be useful – truly useful, not supposedly useful – in appropriate spaces (boxes, drawers).
This will free up your physical space… And therefore your mental space!
3. Organize.
Don’t think that because your desk is messy, you are more active. It’s just an illusion. To yourself and others. As for the piles of files, they are in no way a bulwark and protect you from nothing and no one.
To be quick and efficient, the important thing is to immediately spot what you need. Wasting time searching is annoying and, in the long run, demotivating.
Consider using color-coded files and label them.
4. Store.
If possible, why not consider installing storage areas: shelves, filing drawers, storage including hanging files…? This would also allow you to store your files while organizing them by priority.
5. Plan ahead.
Today, we no longer work without peripheral equipment. Whether it’s external hard drives, printers, mobile phones, cameras, etc.… it is necessary to also provide additional and easily accessible electrical outlets.
Being optimal also means being equipped.
6. Accept.
However, remember that not everything is optimizable: the quest for an ideal organization should not become a priority and even less prevent you from functioning properly if you don’t achieve it. For example, it is not imperative that your files are perfectly aligned against the edge of your desk for you to be able to use them… Convinced that you have already put in place the necessary well-being, accept what cannot be changed and rethink your fundamental objectives: to be efficient and professional.
