Our work is becoming increasingly mobile: we work on the train, in queues, quickly check our emails on our smartphone while waiting at the supermarket checkout... No problem with that. Our world is increasingly adapting to our digital lifestyle. What's more logical than our office no longer being limited to one single place?
Working anywhere and at any time is obviously not recommended either. Sooner or later, a wise person will advise you on a digital detox. However, being constantly accessible for your work does have some advantages.
Are you stuck between two train stations after missing a connection? Do you hate twiddling your thumbs while waiting in line? Maybe you need a break, but your job doesn't allow you to be completely unavailable?
Here are some tips to create a high-performing mobile office...
1. First of all, be connected
You won't get far with your mobile office without a decent internet connection. Writing a document is still possible, but forget about easily replying to your emails, doing research, or performing uninterrupted updates... A good Wi-Fi connection is generally effective, but it's not always easy to find one. A secure network remains the best solution.
You have a Wi-Fi connection in the neighborhood, but it's unprotected, too far away, not powerful enough, too slow... Some smartphones are able to share their internet connection via 4G. You're in a café, a restaurant, or a public place and you see that there's a secure network available, but you don't have the password? Look around you, maybe some customers have it. You have nothing to lose by asking.
2. Bring a charger
You're on the go and you forgot your battery charger? Your laptop or tablet is about to shut down in a few minutes? Avoiding this kind of situation is so simple: buy a portable charger and get in the habit of taking it everywhere with you!
3. Use the cloud
Cloud computing allows you to save documents so you can access them from anywhere. This virtual storage space is very widespread nowadays. You have probably already used online services like Dropbox or Google Drive. The advantage is accessibility. By saving your documents in the Cloud, you ensure that you can access them anytime, anywhere.
So you no longer need to bring your personal computer or save your PowerPoint presentation on a USB key that you constantly have to look for in your handbag or backpack. The downside, because there is one, is security. Some online platforms are attacked from time to time. So be careful in choosing what you download or save on the Cloud.
4. Chat with colleagues
Just because you're working from home or elsewhere doesn't mean you have to deprive yourself of conversations with colleagues, or even gossip if you really can't do without it. There are enough chat services: Skype, Google Hangouts, Facebook, Ü berconference, etc. Your company may also have its own internal chat service. So you have many tools to stay informed of all decisions and everything that is said, or even to take part in meetings.
5. Create your work atmosphere
You need an inspiring work environment, a good atmosphere, you don't like the hustle and bustle of a station or a café once you're immersed in your work? With headphones on, you can relax to your favorite tunes. A real sound cocoon where you can isolate yourself as you see fit. Online services like Deezer, Spotify, and Grooveshark will prevent you from having to load all your music files onto your computer. Lacking inspiration? Go look for some music playlists recommended by streaming sites.
6. Avoid paperwork
Copies, sticky notes, paper documents can get lost, forgotten, or accidentally crumpled. This is unnecessary work. Digitize everything you can so you always have these documents with you. Programs like Evernote are very handy notepads. You can place images in the clipboard, work on your drafts, archive and organize information,... The software allows you to digitize offline notes by taking photos and turning them into a virtual notebook, thanks to its collaboration with the legendary Moleskine, renowned for years for its notebooks and paper diaries.
