In our modern companies, where means of communication are always faster and more efficient, settling down for a meeting is sometimes a dreaded torture. However, organizing an efficient meeting is not complicated. Here is a reminder of a few points that will allow you not to waste your time:
0. Ban Blackberries during the meeting
Except if necessary for the meeting itself, the blackberry, so distracting, is to be avoided. Everyone's attention is required so that the meeting lasts as short as possible.
1. Know why the meeting is taking place
Your invitation must clearly state the meeting's agenda.
2. Know what the expected actions are after the meeting
Ask yourself what you expect people to do after the meeting. This question must be answered before the meeting starts.
3. Don't hold a meeting to chat
If you want to chat with someone, simply go to their office.
4. Appoint someone to write the minutes
Keep track of what is said/decided.
5. Establish the rules
Organize the meeting, have a clear plan in mind while letting people talk.
6. Start on time, finish early
Send invitations for more time than necessary.
7. Stay focused
Avoid tangential discussions, don't let the meeting's topic get away from you.
8. Assign action points at the end
Repeat the necessary actions, and assign them if needed.
9. Check agreements at the end of the meeting
Repeat what you agreed on during the meeting.
10. Follow up
Spend some time with the key people from the meeting, after having sent them the meeting notes.
